1. have you catered at my specific venue before? If they haven’t, it’s not a dealbreaker. However, you need to ask: “Are you willing to do a site visit before the wedding?” A professional caterer needs to see the kitchen facilities (or lack thereof), power outlets, and load-in access points.

2. What is included in your standard service package? Does the quote just cover the food delivered in pans? Or does it include setup, cleanup, servers, high-quality disposable plates, or real china and silverware? Never assume full service is included in the base price.

The Food: Tasting Menus, Sourcing, and Flexibility

This is the fun part, but also where quality varies wildly between vendors. You want food that tastes as good to your 150th guest as it did during your private tasting.

3. Do you offer tastings before we sign a contract? Some caterers charge a fee for this, which can sometimes be applied to your deposit if you book. A tasting is crucial. It shows you not only how the food tastes, but how it is presented.

4. Where do you source your ingredients? If you are planning a summer wedding in Midway or Heber Valley, you want produce that tastes fresh, not something thawed out of a freezer. Ask about their commitment to fresh, high-quality ingredients.

5. Can you accommodate dietary restrictions easily? In Utah, it is almost guaranteed you will have gluten-free guests, vegetarians, or dairy allergies on your list. The Logistics: Travel, Staffing, and Setup

This is where amateur caterers struggle. The logistics of moving hot food across the valley and serving it elegantly require experience.

6. How do you ensure food stays the proper temperature? This is critical. If your kitchen is in Lehi, but the wedding is at a historic venue in Ogden like The Monarch, how is that food transported? You need assurance that hot food stays safe and hot, and cold food stays crisp, regardless of the travel time.

7. What is your staff-to-guest ratio? There is nothing worse than guests waiting 20 minutes for a water refill or tables piled high with dirty plates because the caterer didn’t bring enough staff. A professional caterer will know exactly how many servers are needed based on your guest count and service style (buffet vs. plated).

9. Is gratuity included in the quote, and is it mandatory? Some caterers add an automatic 18-22% service charge. Ask for clarification on what that percentage covers and what the expectation is for tipping servers on the day of.

10. What is the cancellation or postponement policy? If the last few years taught us anything, it’s that plans change. Understand their policy on non-refundable deposits if you have to shift your date.
